Should each business have its own set of books?
Yes. Each business gets its own ledger, bank accounts and subscription, so that one company’s sales and costs never mix into another’s.
Keep one ledger per business. A ledger is the record that every sale and bill is written into, and the short version of bookkeeping explains why it must stay clean: if two companies share one, no number can be trusted for either. The section on the basics of bookkeeping has more beginner answers, and the difference in plain terms separates recording from advice.
Each of my businesses has a set of books of its own. That is the setup I would give any reader who runs more than one.
Why they stay apart
The reasons are practical. Each business has its own bank activity and its own tax filings. The IRS says you may use any recordkeeping system that clearly shows income and expenses, and a mixed ledger does not show them clearly for either company. Choosing the legal shape of a business is a separate decision, and the boundary note at the end of this answer says where to take it.
The sales channels differ too. An online store brings payouts net of fees, and payouts, fees and refunds in the ledger shows how that looks. A café has a till and tips, so how a café keeps its books is a different routine. When both sit in the same owner’s hands, which accounting tool comes first becomes a real question.
What a second company costs in software
The price is the usual surprise. QuickBooks says each company you create requires its own separate paid subscription, so a second company starts at $38 a month. Xero works the same way, with additional subscriptions for additional businesses, from $27 a month. Wave charges $19 a month for each business on Pro, and Starter is free.
Zoho Books is the exception. Zoho says you can set up multiple businesses as different organizations linked to one Zoho Books account, and each organization carries its own plan price, starting free. Zoho Books’ strengths and gaps cover the rest of its scores. FreshBooks earns no credit for the cost of a second business, and how FreshBooks scores shows the full breakdown. Anyone leaving QuickBooks over this cost can start with software to switch to from QuickBooks.
Choosing across the lot
When cost drives the choice, ranked free tools help, since a free plan per business adds no monthly fee. If the choice is between the two big names, the QuickBooks and Xero matchup lines them up on price and features.
